Stenograph FAQ for professionals and teams
Straight answers to what people ask before they move their writing to voice: how the microphone behaves, how your field's words get spelled right, what happens to audio, how limits and billing work, and what a team admin controls.
Dictation questions
Is the microphone always listening
No. The microphone turns on only when you tap the button or press the hotkey, and it turns off when you pause naturally or tap again. Between utterances nothing is recorded or sent. The full sequence is described on the how ai dictation works page.
Which apps can I dictate into
Any app where you can type. The desktop app for Mac and Windows puts text at the cursor in email clients, word processors, chat tools, browsers, editors and terminals, the Chrome extension covers web apps, and the iPhone and Android keyboard works wherever a keyboard appears.
Do I have to copy and paste the text
No. Stenograph inserts the finished text exactly where your cursor is, in the field you were already typing in. You see three states while it works: listening, processing and inserted.
Can I edit by voice instead of the keyboard
Yes. Say "new paragraph", "make that a list", "delete the last sentence", "replace Thursday with Friday", "make it shorter" or "more formal" and the text changes in place. The full list is on the voice commands for dictation page.
Does it remove filler words and add punctuation
Yes. False starts, repeated words and fillers such as "um" are removed, punctuation and capitalization are added, and the text is shaped as an email, a list, a memo or paragraphs, depending on what you are writing. See ai text formatting dictation for details.
Can I dictate in more than one language
Yes. Stenograph recognizes more than 50 languages and keeps a sentence mixed when you switch languages mid sentence, so a Spanish client name in an English email stays as spoken. Read more on the multilingual dictation page.
Does the tone change between apps
It can. Writing styles per app keep messages concise in Slack, formal in Outlook, structured in Notion and Word, and code aware in VS Code and terminals. You choose and adjust each style on the dictation writing styles page.
Accuracy and vocabulary questions
Will it spell the words of my field correctly
That is what custom vocabulary is for. You add client names, product names, case citations, drug names or code identifiers, and you switch on a professional vocabulary for legal, medical, software or finance work. Stenograph applies those terms whenever it hears them. The details are on the custom vocabulary speech recognition page.
How many custom terms can I add
Solo holds 500 terms, Pro 2,000, Team 10,000 shared across the team and Enterprise 50,000 shared. Solo includes one professional vocabulary; every other plan includes all of them.
Do you publish an accuracy percentage
No. Accuracy depends on your microphone, the room, your speaking style and how complete your term list is, so a single number would mislead you. The best test is your own voice: try the one-time demo with your own terms in the "Your terms" field.
Can a whole firm share one dictionary
Yes. On Team and Enterprise an admin maintains shared dictionaries and writing styles, so every person spells the same names the same way. See the shared dictionary for teams page.
Meetings and files questions
How do meeting notes work
You record a call or an in-person meeting on your own device, and Stenograph produces a transcript with speaker labels, a short summary, the decisions taken and a list of action items. No bot joins your call. More on the ai meeting note taker page.
Can I upload an existing recording
Yes. Upload an audio or video file and get a transcript with timestamps and speaker labels, ready to export to Word, PDF, TXT or SRT. The ai transcription page shows the full workflow.
Do transcription minutes and dictation minutes share one allowance
No, they are counted separately. Dictation minutes cover what you speak into apps, and transcription minutes cover meetings and uploaded files. Meeting summaries have their own monthly count.
Can I transcribe a Zoom meeting
Yes, by recording it on your device or by uploading the recording file afterwards. Our guide on how to transcribe zoom meetings walks through both ways.
Privacy and data questions
What happens to my audio
Audio is processed to produce text and then deleted. It is not stored on our side after processing, neither for dictation nor for the demo.
Is my text kept
Only if you want it. Text history is optional, you can turn it off completely, and you can delete single items or the whole history at any time.
Is my content used to train AI models
No. Your audio, your text and your dictionaries are never used to train AI models, ours or anyone else's. AI model providers process content under contract and without training on it.
Is Stenograph HIPAA compliant
We do not claim HIPAA compliance or any certification, and we do not sign a BAA. We describe exactly how audio and text are handled, and clinicians follow their organization's policy on patient identifiers. The full picture is on the dictation privacy page.
How do I delete my account
From the account settings, or by writing to [email protected] from the address on the account. Deleting the account removes your text history, dictionaries and settings.
Plans and billing questions
Can I try it before paying
Yes, once. The recorder on the home page is a one-time demo with your own terms and format. There is no plan at zero, and paid plans start at 24 USD per month billed yearly. Try the demo to see the result.
How much does Stenograph cost
Solo is 49 USD per month or 24 USD per month billed yearly, Pro 99 or 49, Team 299 or 149, and Enterprise 999 or 499. Yearly billing saves 50%. Every limit is listed on the stenograph pricing page.
How are limits counted
As consumption within your billing period. Deleting a transcript or your history does not return minutes. Every plan has a fixed monthly limit, and the way to more minutes is a higher plan rather than credits or top-ups.
Can I cancel at any time
Yes. Cancel from your account whenever you like and your plan stays active until the end of the period you paid for. Payments are final, as set out in the refund policy.
Teams questions
What does a team admin control
The admin console lets an admin invite and remove seats, maintain shared dictionaries and writing styles, see the usage report and manage central billing and invoices. Enterprise adds SSO (SAML), SCIM provisioning, an audit log and data retention controls.
How many people fit on a plan
Team covers up to 5 seats with pooled minutes, and Enterprise covers up to 20 seats. Solo and Pro are for one person each.
Can we pay by invoice
Enterprise can be paid by invoice, and a DPA is sent by email on request. Team is paid by card, and every payment on any plan comes with an invoice.
Still deciding which way to work
Record thirty seconds of your own work, add a few of your terms and see the formatted result, then pick the plan that matches how much you write. If a question is not answered here, write to us via the contact stenograph page.
