Stenograph

Transcription software your whole team can rely on

Choosing transcription software for a firm, a practice or a company is a different decision from picking an app for yourself. You need predictable costs, control over who has access, a clear answer about what happens to recorded audio, and exports that fit the systems your people already use. Stenograph is designed around those questions.

What to evaluate before you buy transcription software

Most products transcribe speech. The differences show up later, when twenty people use the tool every day and someone from compliance asks where the recordings live. Before you commit a budget, check these points against every option on your shortlist, including ours.

  • Data handling, specifically whether audio is stored, for how long and who can read it
  • Whether customer content is used to train models
  • How minutes are counted, and what happens when a team runs out
  • Administration, meaning seats, roles, billing and usage reporting
  • Vocabulary control for client names, products and specialist terms
  • Export formats your document and records systems accept
  • Single sign-on and user provisioning for larger groups

How Stenograph handles recorded audio

Every piece of audio is deleted once processing finishes, never stored. That applies to file uploads, meeting recordings and live dictation. Text history is optional: each user, or the administrator for the whole workspace, can turn it off, and existing history can be deleted at any time. Customer content is never used to train AI models. Everything is encrypted both in transit and at rest. We do not claim certifications we do not hold; the dictation privacy page describes exactly how audio and text move through the service, so your security reviewer can assess the facts directly.

Admin console for teams and firms

The Team plan gives one administrator a console for the whole group. You invite members by email, remove them when they leave, and see how many transcription and dictation minutes each person uses in the period. Billing is central, with invoices for the account, so individual staff never expense a subscription. Enterprise adds SSO with SAML, SCIM provisioning, an audit log and data retention controls, plus invoice billing and a DPA sent by email.

  • Invite and remove members without contacting anyone
  • Usage report by member and by month
  • Central billing and invoices for the workspace
  • SSO, SCIM, audit log and retention controls on Enterprise

Shared dictionaries keep spelling consistent

When ten people transcribe client calls, ten spellings of the same client name appear in your files. Team and Enterprise workspaces share one dictionary, so the firm's names, product lines and specialist terms are spelled identically in every transcript and every dictated email. Administrators also set shared writing styles, so documents produced by different people read as if they came from one office. The ai transcription page explains how vocabulary is applied to each file.

Clear minute limits per plan

Budgets fail when usage is vague. Every Stenograph plan has a fixed monthly allowance, shown in the app and in the admin console, and every figure is a concrete number. On team plans the minutes are pooled, so heavy and light users balance out. When a workspace approaches its allowance, the administrator sees it before anyone is blocked and can move to the next plan.

Exports that fit existing systems

Transcripts leave Stenograph as Word documents for editing, PDF for records and filing, plain TXT for case management or ticketing tools, and SRT for video. Live dictation goes further: text is inserted at the cursor in the application your staff already have open, from email clients to document editors, through the desktop app for Mac and Windows, the Chrome extension and the iPhone and Android keyboard.

One subscription for transcripts, meetings and dictation

Separate tools for meeting notes, file transcription and dictation mean three vendors, three reviews and three invoices. Stenograph covers all three in one plan. Recorded meetings come back with a summary, decisions and action items, described on the ai meeting notes page, and the same account dictates emails and documents in any app.

Working out the return for your team

The calculation is your own and it is simple. Estimate the minutes each person spends typing up recordings and meeting notes per week, multiply by their hourly cost, and compare it to the seat price. Team costs 149 USD per month billed yearly for up to five people, which is 1,788 USD per year. Enterprise costs 499 USD per month billed yearly for up to twenty people. Monthly billing is available at 299 USD and 999 USD. All payments are final. Cancellation is possible at any moment, and access runs until the paid period ends.

Questions from business buyers

Is invoice payment possible?

Team accounts receive invoices with central billing. Enterprise adds invoice billing as a payment method, set up when you subscribe.

Do you sign a data processing agreement?

Yes, on Enterprise. The DPA is sent by email; request it at [email protected] after you subscribe.

What happens when we use all our minutes?

The administrator sees usage approaching the limit in the console. To continue in the same month, the workspace moves to a higher plan; there are no credits or top-ups.

Can we restrict who keeps text history?

Yes. The administrator can turn text history off for the whole workspace, and members can delete their own history at any time.

Is there a minimum contract length?

No minimum beyond the billing period you choose. Yearly billing saves 50 percent, and monthly billing is available on every plan.
