Stenograph

Shared dictionary for teams that keeps everyone's terminology consistent

When five attorneys spell the same client three ways, or a clinic's letters name the same procedure differently depending on who dictated them, the problem is not the people. It is that each of them taught their own tool their own words. Stenograph Team and Enterprise give the whole group one shared dictionary and shared writing styles, managed by an administrator, so every document sounds like it came from the same organization.

Why personal dictionaries are not enough for a group

A personal dictionary is great for one person. In a firm, a practice or an engineering team, it creates drift. New colleagues start from zero, departing ones take their terms with them, and nobody knows which spelling of a product, a matter or a drug brand is the official one. A shared dictionary fixes that by making the organization's vocabulary a single source that every member's dictation uses automatically, on every device.

What a team shares in Stenograph

  • One shared dictionary of names, matters, products, drug names, acronyms and identifiers
  • Shared writing styles, such as the firm letter format or the support email tone
  • All four professional vocabularies, legal, medical, software and finance, available to every member
  • Pooled minutes for dictation and for meeting and file transcription
  • One subscription with central billing and invoices

Each member keeps a personal dictionary and personal styles on top of the shared ones. When a personal term and a shared term conflict, the shared spelling wins, so the organization's choice is the one that appears. The custom vocabulary speech recognition page explains how a single dictionary works, and the dictation writing styles page covers styles.

An admin console built for the person who pays

The admin console is where the team's setup lives. An administrator invites and removes members, edits the shared dictionary, publishes shared styles and sees a usage report with minutes and summaries per member and for the whole team. Billing, invoices and the plan are managed in the same place.

  • Invite members by email and remove access in one step
  • Add terms one by one or import them from a CSV file
  • Review terms suggested by members before they become shared
  • Usage report per member, per month, against the plan's limits
  • Central billing with downloadable invoices

Roles and permissions

RoleWhat the role can do
Owner Manages the subscription, billing and invoices, plus everything an admin can do
Admin Invites and removes members, edits the shared dictionary and shared styles, sees the usage report
Editor Suggests and edits shared terms, cannot manage members or billing
Member Dictates and transcribes with the shared dictionary and styles, keeps personal terms

Enterprise adds single sign-on with SAML, user provisioning with SCIM, an audit log of changes to members, terms and settings, and data retention controls for text history.

Enterprise costs 499 USD per month billed yearly (5,988 USD per year) or 999 USD monthly, with SSO, SCIM, the audit log, retention controls, invoice billing, a DPA by email and priority support. Limits are shown in the console, each one a fixed monthly cap. Every detail is on the stenograph pricing page.

Data handling an administrator can explain

Audio from every member is processed and then deleted, it is not stored. Text history is optional, can be turned off for the whole team and can be deleted. Content is never used to train AI models, and all data is encrypted in transit and at rest. On Enterprise, retention controls set how long text history is kept. Firms that handle sensitive work can review the dictation privacy page, and law firms in particular may want to read dictation for lawyers.

Questions about shared dictionaries

Can members still add their own words?

Yes. Every member keeps a personal dictionary. Personal terms work only for that member, and editors can promote a useful term into the shared dictionary.

What happens when someone leaves the team?

An admin removes the member in the console. Shared terms and styles stay with the team, and the departing person's access ends right away.

Can we buy more than five seats on Team?

Team covers up to five seats. Larger groups use Enterprise, which covers up to twenty seats with pooled minutes and SSO.

Can we pay by invoice?

Enterprise includes invoice billing. Team pays by card with invoices available in the console. Payments are final, and you can cancel any time with access until the end of the paid period.
