AI meeting notes that turn into minutes and follow-ups

The meeting is not finished when the call ends. Someone still has to write the minutes, send the recap to the client and make sure each person knows what they agreed to do. Stenograph takes the recording of the meeting and produces that paperwork for you: structured minutes, a drafted follow-up email and notes your team can open in one place.

The work that follows every meeting

For many managers, attorneys and consultants, each hour of meetings creates another half hour of writing. Minutes for the board file. A recap email for the client. A message to the team about who owns which task. That writing is repetitive, it is usually done late in the day, and details slip. Stenograph is designed to remove most of it, so the meeting record is ready while the discussion is still fresh in everyone's mind.

  • Minutes in a consistent structure for every meeting
  • A follow-up email drafted from what was actually said
  • Notes shared with colleagues who need them

Meeting minutes in a format you can file

Stenograph writes minutes with the elements a formal record needs: date and duration, the participants as you named them, the topics discussed in order, the decisions reached and the actions assigned. Wording is neutral and in the third person, suitable for a file or a board pack. You choose between short minutes, which record only decisions and actions, and full minutes, which also summarize the discussion of each topic. The underlying transcript with speakers and timestamps stays attached, so any line of the minutes can be checked against the recording.

  • Participants, agenda topics, decisions and actions
  • Short or full minutes, chosen per meeting
  • Export to Word or PDF with your own heading
  • Transcript attached for verification

Follow-up emails drafted from your notes

After a client meeting, the recap email matters more than the minutes. Stenograph drafts it from the meeting notes, with a greeting, a short summary of what was agreed, the next steps for each side and a sign-off. The draft opens in your email client or is copied at the cursor, and you adjust it by voice with commands such as "make it shorter" or "more formal" before you send it. The draft never goes out on its own; sending is always your decision.

  • Draft written in your own writing style for email
  • Next steps separated by who does what
  • Edited by voice before you send

Sharing notes with your team

On Team and Enterprise plans, meeting notes can be shared with other members of the workspace. A colleague who missed the call opens the summary and the decisions instead of asking for a recap. Shared notes respect your text history settings, and the owner of a note can withdraw it or delete it at any time. Notes can also be exported and attached to the place your team already keeps project records.

  • Share notes with selected members of your workspace
  • Export to Word, PDF or TXT for other systems
  • Delete shared notes when they are no longer needed

How meetings are captured

Meetings are recorded on your own device: on Mac or Windows for video calls, on the phone for meetings in a room. No bot joins the call. Always record with the consent of the participants. If you want to know more about the capture side, the ai meeting note taker page explains device recording and speaker labels, and the meeting transcription app page covers recording around a table with a phone.

Consistent notes across a whole team

When every manager writes minutes their own way, nobody can find anything later. Team plans share writing styles and a dictionary, so minutes from every meeting follow one structure, and client names and project terms are spelled identically. An administrator sets the style once, and every member's notes follow it. The transcription software page describes the admin console, usage reports and billing for teams.

What is kept and what is deleted

Meeting audio is processed and then deleted, not stored. Notes, minutes and transcripts remain only while text history is on, and they can be deleted individually or all at once. No meeting you record ever becomes training material for AI models. Minutes and transcripts are encrypted in transit and at rest.

Meeting summaries included per month

Solo includes 30 meeting summaries per month, Pro 60, Team 200 and Enterprise 600, each with the transcription minutes of the plan. Pricing billed yearly is 24, 49, 149 and 499 USD per month respectively, and monthly billing is available. Payments are final; you can cancel any time and keep access until the end of the paid period.

Questions about AI meeting notes

Can I choose the structure of the minutes?

Yes. Pick short minutes with only decisions and actions, or full minutes that also summarize each topic. Team administrators can set a shared default.

Does Stenograph send the follow-up email for me?

No. It drafts the email and you review, edit and send it yourself.

Who can see shared notes?

Only the members of your workspace you share them with. You can withdraw or delete a shared note at any time.

Can notes be written in the language of the meeting?

Yes. Notes are produced in the language that was spoken, across more than 50 languages, and mixed language meetings stay mixed.

Does a meeting summary use my transcription minutes?

Yes. The length of the recording counts as transcription minutes, and each set of notes counts as one meeting summary.
